Registering a Sdn Bhd with EPF

To assist those of you who need to register a company file with EPF and save money on company secretarial fees, this is how you do it. The company secretarial fees vary, some charge between RM900-1500 just to do the legwork for you. Some will bundle it as a free service in their other paid services with their clients.

Any Sdn Bhd that is registered with SSM must pay its employees an EPF monthly contribution, on top of income tax; thus an EPF file has to be registered.

It is as simple as ABC and I did it with a baby!!! OK, a toddler…..which is worse, I’m not sure.

In fact, before I got this done, I’d called EPF to enquire exactly how to go about it and they told me how simple it was and NOT to engage anyone to do it because it was so simple! Obviously, lots of money was being made out of it because people just don’t realise how efficient EPF is these days. So here you go. Detailed instructions on how to register an EPF file so you can start paying your employees EPF.

Application Requirements:

1. 1 x EPF Company Registration Form

2. 1 x Photocopy IC of Director on A4

3. 1 copy each of Company Forms 9 and 24 (certified true copies, can be by company secretary)

4. Bring your Company Chop (stamp) just in case.

Go to EPF’s website: www.kwsp.gov.my

On the orange headed right column titled QUICK LINKS, click on FORMS EPF.

Click the required form EPF1 (MAJ) – Application for Employer Registration

Fill it up in a black ball point pen and get it signed by a Director. If the Director cannot submit the application, then an authorised letter appointing the said person (delivery person) with IC details should be included.

Once you have your documents in order, take a trip down to EPF (I went to the HQ on Jalan Raja Laut because it is the only one I knew) and make your submission. For the Jalan Raja Laut branch, I parked at the Menara Bumiputra Commerce (CIMB Bank Building) just AFTER the EPF building and Menara UOB. Take note if you’re taking a baby. This building is NOT stroller friendly. And the parking lot is a MAZE. I kid you not. So be patient about finding parking because there are intermittent walls everywhere.

Find yourself out of the parking lot and walk (hopefully it doesn’t rain!) to the EPF building only less than 200 meters away (I measured on Google Earth). Smile at all the security guards so they will help you carry your stroller with baby on it like the Chinese Empress up and down the stairs.

When you enter the EPF hall, go straight to the free standing reception table in front of the main doors and take a number. Wait your turn (this took 3 minutes) and go to your respective counter to submit the forms. The counter guy will look through your documents, check them and process your registration immediately. The entire process took 5 minutes and I was out of there. They have a great Malay food court upstairs on Level 1A or was it Level 2 which was super clean. I was there at noon so T2 and I were starving……

EPF will then give you your EPF certificate with your new registration number, an EPF booklet with guidelines (all in Malay unfortunately) and a copy of Form A for your first EPF contribution to your employees.

VOILA!

Later, I shall explain how you can pay your monthly EPF contributions to your employees. For this, some companies charge circa Rm700 for the first 5 employees up to RM5,000 for a payroll of up to 10 employees. I will be doing this myself until if and when I find I cannot cope with the work load. Then only will I outsource. I’m real stingy when it comes to paying for services.

All in all, the self registration at EPF for my companies EPF registration took an hour (because we were there lunch time so there was heavy traffic from home to EPF and back home) and cost RM150 (time, parking and petrol). This means, I saved RM750. I guess some people would be happy to just pay it but I wasn’t. In fact, if you used an office boy to do the task, it could cost you RM10!!!
